How can I publish daily pickup table(s) for each driver via Power BI?

I used Power Query to create a master table then I use Power Pivot to generate different "Pickup" tables according to different schools. These tables are monthly based.

My goal is to push (publish) each table (or tables) to a driver so a driver knows which school(s), what time, and whom to pick up for the day:

  1. Use Power BI to push (publish) different tables to different drivers.
  2. The value (1) means this child needs to be picked up while a blank means no pickup for that day
  3. Push (publish) those names with value (=1) for the day only, so the driver can see whom to pick up only for that particular day (not a whole month)
  4.  

I am new to Power BI though I Know how to use Power Query and Power Pivot to some extent. Since I have about one week, I hope someone can guide me to achieve this goal via Zoom. I am more than happy to pay. Any other better solutions are more than welcome too.

Hi Jim,

I want to check that you're aware that each driver must have a Power BI Pro licence costing US$10/month in order to see the Power BI report you push to them?

A cheaper option might be to use Power Automate to email each driver an extract of the Excel file that contains their pick up list. Here is an example I did using Power Automate to automatically email task reminders, but the process would be similar.

I'm not a Power Automate expert, so I couldn't help you develop your solution, but I can put you in touch with someone who could possibly help.

Thanks for your comments.

1. Some of my drivers (recipients) don't even know how to check emails. Even if they do, they don't know which one is the newest if we keep updating the list of the kids to be picked up. An App seems better than emails under this scenario.

2. We need to keep updating the list by hours, minutes, or seconds, whenever necessary.

3. I would like to push/publish the list only for the day (one day only), instead of the whole table, to avoid any confusion.

Hi Jim,

I suppose you could use Power BI's Row Level Security to display data specific to a driver when they open the app. You could have the report filter the data to TODAY's date.

I week is probably not enough to learn the skills and develop the report, so a consultant might be your best option assuming they have the time to get it done at short notice. I'll reach out via email with the contact details for a consultant.

Hi Jim,

You need to use Power Query to get the data from Excel and bring it into Power BI. You also need to learn Row Level Security and publishing your reports to the Power BI service and scheduling refreshes.

You can seek out those specific lessons from the course, but I recommend you do the whole course.

Thank you very much for your continuing feedback.

Yes, I subscribed to your Power BI course and I started learning it.

1. Is this course enough to cover what I need (as you mentioned)?

2. Because of the time constraint, I still prefer if someone can help me as a consultant if it is appropriate.

3. I am fully aware of the costs involved in using Power BI and for other users to share the published dashboard.

Yes, the course is enough to do what you want. I have copied you on an email to another consultant. Be aware they charge more than the previous consultant.
