Project management excel (monthly, Quarterly)

Hello!

Thanks for the great content !

I've watched the "Interactive Excel Project Management Dashboard" on youtube and I really like the format. I did re do it myself.

However, I'm trying to change the Dashboard to have a Monthly or/and a Quarterly views. Therefore, instead of seeing a daily view (on the gantt chart, scrolling bar,etc) I was wondering how can I modify this awesome file for my needs?

I know that this file will be super usefull for my team and my boss will be so impressed :).

Can you help me please??

Yes I did look at it after posting my question but unfortunatly it's hard to follow without detailed instructions (I'm not an excel expert).. I'm not familiar with the Developper options and do not understand how the formating will follow along. 

Other random question, do you have a model for Google sheet so the project management file can be updated by many users at the same time?

Hi Laurence,

In that case, please share your Excel file or a sample file so we can help you troubleshoot where you're stuck. Please note, we aren't able to build your report for you. We can only help you when you try yourself and get stuck.

I don't have a Google Sheets equivalent, but if you have a Microsoft 365 license then you already have co-authoring (multi-user access at the same time), so no need for Google Sheets.

I totally understand and I'm so grateful for your help. Thanks for the heads up on Microsoft 365, I will definitely use it 🙂 

You will find attached my file that I'm working on and the goals I'm trying to achieve. I will be forever grateful if you can help me resolve my issues.

Hi Laurence,

Please see file attached where I've used this formula for the sequence of months start dates:

=UNIQUE(EOMONTH(SEQUENCE(1,730,MIN(F12:F40)+WORKINGS!L6,1),-1)+1,TRUE)

 

I hope that gets you started.

Thank you for your help, very appreciated.

 

Last question, could you help me with the conditional formating please? Now, when there is a task in progress I don't see the mix of colors (green for the months completed and red for the remaining months). I'm certain it's probably a formula issue. I would be very pleased if you can help me fix this issue.

Hi Laurence,

I did fix the conditional formatting as well and I can see it in the file I shared with you. Note: you cannot use month names in the PivotTable. You'll see that I have replaced them with the proper start date and end date fields.

Hi Laurence,

Thanks for clarifying. I assumed that the start and end dates were simply the first of each month because you are only tracking at a month level, but are you saying that the first task would be completed by the 1st April i.e. no work would be done on the 1st April? Or are you saying that because they completed 50% of the task in February, that the whole project would be complete by end March and wouldn't need any time in April?

Please give several scenarios so I understand the logic.

Hi Mynda, 

 

Yes exactly. For example the T19 (line 11 on the Dashboard sheet) begins on February 1st and the duration of this task is 2 months (column J on DATA sheet) and 1 month has been completed (column O on Data sheet). Therefore, the task ends on April 1st so the Month of April is not included. So for this example I would like the Month of February to be in green and the month of March to be in red (April needs to be blank in that case). Like you said I choose the start and end date to be on the first of each month just because I want to track the progress on a monthly basis. Sorry for the confusion. 

Just so you can understand the logic, here another example. For T1 (line 15 on Dashboard sheet), the task begins on January until May  (Duration 5 months on column J - Data sheet) and 2 months are completed (column O on Data sheet). Therefore, I would like to see January and February in Green and March, April and May in Red. 

Hopefully that will help figure it out what are the appropriate formula that I need to use.

Hi Laurence,

Try this file. Note: the order of the conditional formatting rules is important. I also changed the end dates to fall in the month the project ends, not the first of the following month (however, there are still some you need to change).
